Job Title: Clinic Coordinator / Personal Assistant

Salary: €40,000 - €50,000 (depending on experience)
Overview
We are currently recruiting on behalf of a busy Private Consultant based in Tralee for an organised, proactive, and personable Clinic Coordinator / Personal Assistant to join their team. This is a key role supporting the smooth running of a private medical practice and coordinating clinics across multiple locations.
The successful candidate will be responsible for managing the Consultant's schedule, coordinating patient appointments, and acting as the central point of communication between patients, medical secretaries, and clinic locations. This is an excellent opportunity for someone who enjoys a fast-paced environment and takes pride in delivering a professional and welcoming patient experience.
Key Responsibilities
- Manage the Consultant's diary, scheduling appointments and coordinating clinic sessions across multiple locations
- Arrange and coordinate travel logistics between clinic sites
- Act as the first point of contact for patients, providing a professional and friendly meet-and-greet experience
- Manage incoming calls, emails, and correspondence in a timely and professional manner
- Coordinate patient appointments, bookings, and follow-up communications
- Prepare and process referrals, medical letters, and documentation
- Liaise with medical secretaries and administrative teams across different clinic locations
- Ensure patient records and information are maintained accurately and confidentially
- Support the Consultant with general administrative and organisational tasks
- Assist with the smooth day-to-day running of the clinic
About You
- Previous experience in a medical secretary, clinic coordinator, PA, or healthcare administration role is highly desirable
- Strong organisational and time-management skills with the ability to manage multiple tasks
- Excellent communication and interpersonal skills with a patient-focused approach
- Professional, discreet, and able to maintain strict confidentiality
- Strong administrative and IT skills (Microsoft Office and scheduling systems)
- Ability to work independently and proactively in a busy environment
- Friendly, professional manner with strong attention to detail
