Job Title: Clerical Officer - Grade 5

Salary: €28.04ph
Job Purpose
The Grade 5 Clerical Officer provides administrative and clerical support to ensure the smooth and efficient running of the department. The role involves staff Management, maintaining accurate records, handling correspondence, and liaising with internal and external stakeholders.
Key Responsibilities
- Oversee day-to-day clerical and administrative duties within the team.
- Support Grade 3 and Grade 4 clerical staff, delegating tasks as needed.
- Manage filing systems (manual and electronic) to ensure accurate record-keeping.
- Prepare reports, letters, memos, and minutes using appropriate software.
- Diary management
- Support financial processes including basic budgeting, procurement tracking, and invoice processing.
- Ensure compliance with relevant policies, procedures, and data protection regulations.
- Organisation of cultural events.
- Assist with induction and training of new clerical staff.
- Participate in service improvement initiatives and implement agreed changes.
Essential Requirements
- At least 3 years' relevant administrative or clerical experience.
- Proven supervisory or team leadership experience.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- High attention to detail and strong organizational abilities.
- Ability to prioritize workload and meet deadlines.
- Strong understanding of confidentiality and data protection practices.
