Key Responsibilities:
- Document Management: Prepare, organise, and maintain legal documents, correspondence, contracts, wills, probate applications, and conveyancing files while ensuring strict confidentiality.
- Probate & Property Support: Assist solicitors with residential and commercial conveyancing transactions, probate matters, estate administration, and related legal processes.
- Calendar & Diary Management: Coordinate appointments, client meetings, deadlines, and key dates to ensure efficient workflow and smooth day-to-day operations.
- Client Interaction: Act as a professional first point of contact for clients, handling queries, scheduling appointments, and maintaining strong client relationships.
- Drafting & Proofreading: Prepare and proofread legal documents, contracts, probate applications, and correspondence with a high level of accuracy.
- File & Case Administration: Open and manage client files, maintain records, and ensure all documentation is completed in line with legal and regulatory requirements.
- Land Registry & Legal Filings: Assist with property registrations, legal filings, and submissions to relevant authorities in a timely and accurate manner.
- General Administrative Support: Provide administrative assistance to the legal team, including answering phones, managing post, and supporting office operations.
Requirements:
- Previous experience as a Legal Secretary, ideally with exposure to Probate and Property/Conveyancing matters.
- Strong understanding of legal procedures, documentation, and client file management.
- Excellent typing and IT skills with a high level of accuracy and attention to detail.
- Strong organisational skills with the ability to manage multiple priorities and deadlines effectively.
- Excellent communication and interpersonal skills with a professional and client-focused approach.
- Ability to handle confidential information with discretion and professionalism.
- Experience using case management systems and Microsoft Office Suite is desirable.
