In this role, you will provide comprehensive, high-level administrative support to a busy Projects and Construction team. Main duties include:
File & Case Management: Manage the end-to-end file lifecycle using the firm's legal case management system (importing guidelines, accessing documents, sending demand letters, and ensuring files remain updated).
Financial Administration: Coordinate the team's monthly client billing process, ensuring invoices are issued accurately and on time; process time records and expense reports.
Diary & Travel Management: Manage complex diaries and schedules to prevent conflicts; coordinate travel arrangements and prepare detailed itineraries.
Meeting Preparation: Prepare materials, agendas, and documentation for internal and external meetings.
Document Production: Ensure accuracy and speed in document production, collaborating with specialized document teams when required.
Stakeholder Relations: Greet and liaise professionally with clients, business visitors, and internal stakeholders to effectively meet their requirements.
Confidentiality: Maintain the highest level of discretion and confidentiality when handling sensitive information.

Experience: 3-5+ years' experience as a Legal Secretary, ideally within a Projects and Construction or corporate/commercial environment.
Stakeholder Management: Proven experience managing a portfolio of senior stakeholders within the legal field.
Technical Skills: Proficiency in using iManage (or a similar case management system) and a legal billing platform (e.g., KeyHouse or equivalent).
Skills: Meticulous attention to detail, superb verbal and written communication skills, and exceptional time-management abilities to handle competing priorities.
