We are seeking a highly organised, proactive and personable Corporate Administrative &
Executive Assistant to provide a combination of executive, administrative, workplace
and facilities support within a busy corporate environment.
The role will act as a key coordination point for senior leadership, employees, visitors,
suppliers and contractors, ensuring the office operates efficiently, professionally and safely.
Key Responsibilities
Executive & Administrative Support
- Manage calendars, meetings, appointments and contacts, coordinating competing
- priorities.
- Arrange meetings, rooms, catering, hospitality and business travel.
- Manage calls, emails and enquiries, preparing correspondence and other
- documentation.
- Assist with reports, presentations, expense reports and general administrative tasks.
- Maintain organised filing systems, documentation and trackers.
- Support senior leaders and colleagues with projects and ad hoc requirements.
Workplace & Facilities
- Provide a professional and welcoming experience for employees, visitors and senior
- stakeholders.
- Manage reception, meeting rooms, office supplies, post, couriers and deliveries.
- Coordinate contractors, maintenance activities and Planned Preventative Maintenance (PPM).
- Monitor building issues, maintenance schedules and supplier service delivery.
- Coordinate property-related requirements, including building and fire audits.
- Support workplace events and employee engagement activities.
Health, Safety & Procurement
- Maintain health, safety, facilities and compliance records.
- Support fire safety processes and ensure contractor documentation is appropriately managed.
- Raise and track purchase orders through Yardi or other procurement systems.
- Support invoice processing, approvals and facilities expenditure tracking.
About You
You will be a highly organised and dependable professional who enjoys a varied role and is confident managing multiple priorities. You will have strong communication skills, attention to detail and a proactive, solutions-focused approach.
Essential:
- 2-5 years' experience in corporate administration, executive assistance, workplace management, facilities coordination or a similar role.
- Excellent organisational and time-management skills.
- Experience supporting senior leaders, teams or stakeholders.
- Strong customer service and stakeholder engagement skills.
- Experience coordinating suppliers, contractors or service providers.
- Excellent record and document management skills.
- Proficiency in Microsoft Office, Outlook, Teams and SharePoint.
- Ability to work independently, take ownership and use initiative.
- Strong written and verbal communication skills.
Desirable:
- Corporate or commercial office experience.
- Executive Assistant or facilities/workplace management experience.
- Health & Safety administration experience.
- Experience with Yardi or other procurement/finance systems.
- Experience coordinating building maintenance, audits or contractors.
- Experience arranging business travel and preparing expenses.
