I am delighted to be supporting a client with an excellent track record for staff retention, who are looking for a strong Senior Administrator to join their team on a permanent basis.
The company operates within the financial services space and they are looking for client support candidate to join their team. We are looking for someone who enjoys being at the heart of a busy office, keeping things organised, dealing with clients and ensuring that processes and documentation are managed accurately and efficiently.
This person will be a vital contributor to the smooth running of the office, working closely with the wider team in a professional environment where hard work, a strong work ethic and a great work enviornment go hand in hand.
Responsibilities
- Providing day-to-day administrative support to a busy professional office.
- Preparing client files and documentation ahead of meetings.
- Preparing schedules, checklists and supporting paperwork as required.
- Acting as a first point of contact for client queries by phone and email.
- Managing client requests and ensuring these are dealt with promptly and accurately.
- Preparing, checking and processing documentation and applications.
- Checking completed paperwork to ensure all information is accurate and complete.
- Maintaining well-organised and up-to-date client files and records.
- Ensuring required supporting documentation is in place and correctly recorded.
- Submitting completed documentation to relevant external providers and following up where required.
- Responding to queries from external providers and ensuring outstanding items are followed through.
- Maintaining accurate records of client correspondence on the CRM system.
- Managing incoming and outgoing post and general office filing.
- Answering incoming calls and directing messages appropriately.
- Managing the office diary and supporting the smooth running of the office on a daily basis.
- Liaising with clients and external contacts in a professional and helpful manner.
- Supporting the wider team with general administration and coordination.
- Maintaining high standards of accuracy, confidentiality and compliance across all administrative processes.
- Carrying out basic administrative reconciliation and record-keeping duties as required.
- Keeping internal records and systems up to date.
The Ideal Candidate Will
- Have 2-3+ years' experience in a similar administration role.
- Have excellent organisational and time-management skills.
- Have strong attention to detail and a high level of accuracy.
- Have excellent interpersonal and communication skills.
- Be confident dealing with clients and external contacts.
- Be highly organised and comfortable managing a busy workload.
- Be proactive, dependable and able to take ownership of their work.
- Have strong Microsoft Office skills, particularly Word and Excel.
- Be comfortable working with CRM and online systems.
- Be able to work independently while also being a strong team player.
- Have a professional, friendly and client-focused approach.
Previous experience in a similar industry would be an advantage, but is not essential. What is most important is that you are a strong administrator who enjoys being organised, dealing with people and keeping things moving.
