Project Onboarding Specialist
We're looking for a highly organised, proactive, and people-focused Project Onboarding Specialist to support the transition of vendors during the rollout of a new internal system.
As part of a collaborative and supportive team, you'll play a key role in ensuring a smooth onboarding experience for both existing and new vendors. You'll help build confidence in the transition, gain an in-depth understanding of the systems you'll work with daily, and make a real impact on the success of this important project.
12 month contract
Location: Little Island - Hyrbrid working model
Salary: €19.49 per hour
What you'll do:
- Ensure data accuracy by cleansing and correcting vendor information ahead of transfer to the new system.
- Use available tools (including advanced Excel functions such as pivot tables and VLOOKUPs) to make data migration as seamless as possible.
- Provide administrative support across onboarding projects, including maintaining trackers, documentation, and reporting.
- Guide vendors through onboarding steps, answering queries and escalating issues where required.
- Assist with setting up new vendor records and maintaining ongoing data accuracy.
- Monitor shared inboxes, portals, and project tools to ensure timely responses and consistent support.
- Support team coordination tasks such as scheduling meetings, preparing agendas, note-taking, and follow-ups.
- Collect user feedback to help identify common issues and opportunities for improvement.
What we're looking for:
- Strong technical skills, with advanced Excel proficiency.
- Experience with ERP systems (e.g., SAP) is highly desirable.
- Exceptional attention to detail and a methodical approach to managing multiple tasks.
- A proactive, team-oriented mindset with eagerness to learn new tools and processes.
- Previous experience engaging with customers or vendors, with strong relationship-building skills.
- Familiarity with platforms such as SAP, Ariba, or Coupa would be a plus (training provided).
