Project Administration & Coordination
Provide administrative and operational support to global clinical teams, ensuring studies remain organised, compliant, and on schedule from study start-up through close-out.
Key Responsibilities
Project Coordination
- Coordinate regional and study-specific meetings, including scheduling, agenda preparation, minute-taking, and action tracking
- Upload and maintain meeting documentation within collaboration platforms and internal systems
- Assist with project communications, newsletters, and regular status updates
- Support cross-functional collaboration and participation in shared learning initiatives
- Contribute to routine study operations, including study close-out activities
Study Documentation & Inspection Readiness
- Maintain inspection-ready study documentation in collaboration with project teams and management
- Conduct routine quality checks and pre-inspection reviews of study files
- Support document filing, indexing, maintenance, and archiving within internal systems
- Assist with regulatory activities and mock inspection preparation
- Support the collection, review, and verification of submission-related data
Systems & Reporting
- Maintain study timelines and study data within clinical management systems
- Update and troubleshoot study information as required
- Prepare and distribute project status and progress reports
- Generate reports relating to milestones, budgets, enrolment, and study performance in collaboration with management
Operational Support
- Assist with study budget administration, including purchase orders and e-requisitions
- Coordinate the ordering, tracking, and shipment of study supplies and materials
- Monitor and report regional and global enrolment metrics
Skills & Experience
- Strong written and verbal communication skills with the ability to communicate clearly and professionally
- Excellent organisational skills and strong attention to detail
- Ability to collaborate effectively within global and cross-cultural teams
- Adaptable, proactive, and solution-oriented approach to work
- Proficient in Microsoft Word, Excel, PowerPoint, and Project
- High level of professionalism, discretion, and confidentiality
