We're excited to be recruiting for a Documentation Controller to join our team. This is a fantastic opportunity for someone who is highly organised, detail-oriented and enjoys keeping processes running smoothly.
As Documentation Controller, you'll play an important role in managing documentation throughout the lifecycle of customer orders and projects. You'll ensure documents are accurate, complete, well organised and submitted within agreed timescales.
Working closely with internal teams, customers and suppliers, you'll help ensure all documentation is managed efficiently and in accordance with customer requirements, company procedures and quality standards.
What will you be doing?
- Managing and maintaining customer and project documentation.
- Monitoring documentation requirements and ensuring submissions are completed within agreed deadlines.
- Reviewing customer orders and associated documentation requirements to ensure all information is accurate and complete.
- Preparing, compiling and issuing documentation packages to customers.
- Uploading and managing documents through company and customer portals.
- Maintaining document management systems and ensuring information remains accurate and up to date.
- Preparing documentation reports, KPIs and progress updates when required.
- Ensuring documentation processes comply with company procedures, quality standards and relevant regulatory requirements.
- Maintaining well-organised electronic and hard-copy filing systems.
- Liaising with customers, suppliers and internal teams regarding documentation requirements, queries and progress.
- Providing general administrative support, including activities relating to documentation and invoicing.
- Supporting the continuous improvement of document control processes and procedures.
What are we looking for?
We're looking for someone who is organised, proactive and takes pride in producing accurate, high-quality work.
Ideally, you'll have:
- Previous experience in an administrative, document control or coordination role.
- Excellent attention to detail and a strong focus on accuracy.
- Strong organisational skills, with the ability to manage multiple priorities effectively.
- Good working knowledge of Microsoft Office and document management systems.
- Excellent written and verbal communication skills.
- The ability to work to deadlines and manage multiple tasks simultaneously.
- A confident and professional approach when communicating with customers, suppliers and colleagues.
- Strong problem-solving skills and a customer-focused approach.
- The ability to work independently while also contributing effectively as part of a team.
- Experience using ERP systems or document control software would be advantageous.
