HR & Administration Executive
The Opportunity
We are partnering with a well-established international organisation to recruit an HR & Administration Executive for its Singapore office.
This is a broad and varied role offering the opportunity to take ownership of both HR operations and corporate administration. The successful candidate will support a range of employee, office and business activities and work closely with internal stakeholders across the organisation.
This role would suit a highly organised, proactive and hands-on professional who enjoys variety and is comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
HR Support
- Support the development, review and implementation of HR policies and procedures.
- Coordinate work pass applications, renewals, cancellations and related documentation.
- Maintain accurate employee and leaver records.
- Process employee claims and expenses, including corporate and membership-related expenses.
- Monitor and maintain employee attendance records.
- Support HR systems administration and prepare HR-related reports.
Administration & Office Management
- Manage corporate vehicle arrangements, including season parking and vehicle servicing schedules.
- Coordinate transportation requirements for business activities.
- Administer corporate mobile phones, Wi-Fi routers and other company assets.
- Coordinate IT onboarding and offboarding, including user profiles, laptops and system access.
- Manage office and building access cards.
- Coordinate expatriate housing arrangements and utility account set-up.
- Arrange flights, accommodation and other travel requirements.
- Support corporate credit card applications and administration.
- Prepare and distribute internal communications, including office announcements and holiday notices.
- Organise monthly meetings and coordinate related logistics.
- Manage office stationery, corporate materials and general office supplies.
- Coordinate courier and other administrative services.
- Administer corporate memberships and related arrangements.
- Prepare and circulate monthly expense reports to senior stakeholders.
- Participate in wider administration projects and initiatives, collaborating with colleagues across the organisation.
About You
- Experience across HR and administration.
- Strong organisational and coordination skills, with the ability to manage multiple priorities effectively.
- Proficient in Microsoft Office applications.
- Excellent interpersonal and communication skills.
- Meticulous and detail-oriented, with a high level of accuracy.
- Professional and discreet, with the ability to handle confidential information appropriately.
- Self-motivated, proactive and solutions-oriented.
- Strong sense of ownership and accountability, with the ability to work independently.
