Role Overview
A business located in Limerick City Centre are seeking a Reception & Administration to help ensure the smooth day-to-day operation of a busy professional practice. Responsibilities will include a broad range of administrative duties such as maintaining internal project management systems, assisting with supplier payments, supporting senior leadership with PA duties, and ensuring documentation is managed and filed to appropriate standards. A flexible, proactive approach is essential, with the ability to support the wider team with ad hoc tasks when required.
Key Responsibilities
Office & Operations Support
- Act as the first point of contact for clients and visitors, ensuring a professional and welcoming experience
- Support the day-to-day administrative operations of the practice
- Manage office supplies, equipment, and general workspace upkeep
- Coordinate with external suppliers and service providers
- Provide diary management and meeting coordination support to Directors and senior staff
HR & People Support
- Maintain HR records and assist with recruitment administration
- Monitor attendance and expense records to support payroll processes
- Assist with employee engagement activities, training coordination, and company social events
Finance & Compliance
- Manage petty cash and support the accounts function with supplier payments and reconciliations
- Monitor contracts, insurance documentation, and company accreditations
- Support compliance with health & safety and data protection requirements
Project & Resource Coordination
- Assist with project resourcing coordination and timesheet administration
- Maintain internal systems, including project management tools and databases
- Support tender submissions and preparation of project documentation as required
Skills & Experience
- Proficient in Microsoft Office applications and telephone systems
- Previous experience in an administration, reception, or office support role preferred
- Strong organisational skills with the ability to manage multiple tasks effectively
- Professional communication skills and a proactive approach to problem-solving
- Ability to work independently and collaboratively within a team environment
