    Job Title: Medical Secretary

    Morgan McKiley Recruitment are currently partnering with multiple Doctor's offices and Clinics throughout Limerick who are looking for experienced Medical Secretaries.

    The Medical Secretary provides high-quality administrative and secretarial support to clinicians and the wider healthcare team. The role ensures the smooth and efficient running of clinical services by managing correspondence, patient records, appointments, and communication with patients, healthcare professionals, and external organisations.

    Key Responsibilities

    Administrative & Secretarial Duties

    • Produce accurate and timely medical correspondence, including clinic letters, reports, referrals, and discharge summaries.
    • Manage clinicians' diaries, schedule appointments, and organise meetings.
    • Handle incoming calls, emails, and enquiries from patients, relatives, and other healthcare providers.
    • Maintain and update patient records on clinical systems (e.g., EMIS, SystmOne, Vision, or hospital systems).

    Patient Support

    • Act as a first point of contact for patient queries, providing clear information and signposting where necessary.
    • Coordinate patient appointments, follow-up actions, and test results in line with clinical instructions.

    Clinical Team Support

    • Provide efficient secretarial support to consultants, GPs, nurses, or allied health professionals.
    • Liaise with hospitals, laboratories, other practices, and external partners regarding referrals and clinical updates.
    • Assist with preparing audit data, reports, or service improvement projects.

    Office & Systems Management

    • Manage filing systems, stationery orders, and general office organisation.
    • Use digital dictation and transcription tools accurately and efficiently.
    • Ensure compliance with clinical coding and data entry standards.
    • Support other administrative team members when required.

    Skills & Experience

    Essential

    • Previous experience in a medical secretary experience.
    • Strong typing and audio-typing skills; ability to produce accurate medical documents.
    • Excellent communication and customer service skills.
    • High level of organisation and ability to manage competing priorities.
    • Proficiency with Microsoft Office and medical software systems.
    • Understanding of confidentiality, GDPR, and safeguarding principles.

    Desirable

    • Knowledge of medical terminology.
    • Experience within the HSE or private healthcare sector.
    • Experience with EMIS, SystmOne, or other clinical systems.
    • AMSPAR or relevant medical administration qualification.
