We are currently seeking a highly organised and detail-oriented Transport Coordinator to join a busy transport and distribution operation based in Dublin. This is a key administrative role supporting day-to-day transport activities, ensuring compliance, accurate record-keeping, and smooth communication between drivers, management, and external partners.

Maintain daily transport files, including delivery dockets and driver documentation
Ensure all truck and driver files are accurate, up to date, and correctly filed
Maintain vehicle inspection checklists and prepare vehicle defect or accident damage reports
Update HR and attendance systems, including holidays, absences, and driver contact details
Process employee and agency driver hours to ensure accurate payroll
Prepare weekly driver hours reports for employment agencies
Maintain accurate driver attendance records in line with HSA requirements
Support health & safety compliance by logging unsafe acts or conditions and maintaining PPE records
Prepare operational reports including rotas, telematics reports, invoices, audits, and stock figures
Liaise with scheduling teams regarding driver availability and time off
Manage fleet records, including tax, CVRT, ADR, periodic and annual test dates
Book vehicle testing and distribute discs/certificates to relevant vehicles
Maintain driver rosters and truck availability schedules
Issue purchase orders and work authorisations
Maintain training records, book courses, and communicate training requirements
Ensure notice boards are up to date with current business information
Provide Known Supplier documentation and maintain supplier records
Place orders with internal and third-party suppliers as required
Handle incoming and outgoing calls, resolving queries efficiently
Assist the Transport Manager with daily operational and administrative tasks
1-2 years' experience in a transport, logistics, or administrative role
Strong organisational skills with excellent attention to detail
Proficiency in Microsoft Office, particularly Excel and Outlook
Ability to manage multiple priorities in a fast-paced environment
Strong written and verbal communication skills
Experience with transport or fleet management systems is an advantage
A proactive, solution-focused mindset
Ability to work independently and as part of a team
Knowledge of transport regulations and compliance is desirable but not essential
