Role: Events Coordinator (Temporary)
Location: Dublin
Schedule: Monday to Friday, 08.30am - 5:30pm
We are seeking a highly motivated and detail-focused individual to join our Recruitment team for the upcoming events season. This is a hands-on, operational role where you will be the backbone of our event delivery, ensuring that every logistical element-from inventory management to venue coordination-is executed with precision. If you enjoy checking off tasks, managing logistics, and ensuring everything is "event-ready,"
Key Responsibilities
Event Preparation & Logistics
- Materials Management: Oversee the end-to-end preparation of event assets, including branded merchandise, name badges, promotional flyers, banners, and agendas.
- Shipping & Coordination: Organise the dispatch and collection of event materials to various locations. You will act as the primary point of contact for couriers, tracking deliveries to ensure items arrive on schedule.
- Venue & Facilities: Handle facility requests, confirm room bookings for on-site events, and manage catering arrangements.
- Inventory Control: Monitor merchandise stock levels, flag replenishment needs, and manage the restocking process once materials are returned.
- Administrative Support: Maintain a centralized log of all shipments, events, and schedules. Ensure the master event calendar is accurate and that event representatives are fully briefed on logistical details.
- Invoicing & Vendor Management: Assist with financial administration, including processing invoices and setting up new vendors within our internal systems.
Experience
- Organisational Excellence: You thrive on structure, checklists, and process adherence. You manage competing priorities with ease and keep a cool head under pressure.
- Attention to Detail: You possess a rigorous approach to tasks; missing small details isn't in your nature.
- Hands-On Attitude: You are comfortable with repetitive, physical tasks-including light lifting and packing-and enjoy the practical side of operations.
- Reliability: You are punctual, dependable, and flexible enough to accommodate the variable schedule that event seasons require (including occasional early/late starts).
- Clear Communication: You are an effective communicator who follows instructions precisely but isn't afraid to speak up if something looks off.
- Background: Previous experience in event support, administration, or logistics is a plus, but if you have the right attitude and organisational skills, we are happy to teach you the ropes.
