We are currently recruiting for a Part Time Receptionist to join a busy and professional organisation. This is an excellent opportunity for a friendly, organised and customer-focused individual who enjoys working in a front-of-house role and providing a high standard of administrative and reception support.
As a Part-Time Receptionist, you will play a key role in creating a welcoming and professional environment for visitors, customers and colleagues. You will be responsible for managing the reception area, answering calls, dealing with enquiries, coordinating appointments and providing general administrative support to ensure the smooth running of the organisation.
Key Responsibilities
- Provide a professional, friendly and welcoming reception service to visitors and customers
- Answer incoming telephone calls and deal with enquiries in a polite and professional manner
- Greet and assist visitors, ensuring they are directed to the appropriate person or department
- Manage incoming and outgoing post, deliveries and correspondence
- Monitor and manage the reception area, ensuring it is kept tidy and presentable
- Manage appointments, meetings and visitor schedules as required
- Maintain accurate visitor and appointment records
- Handle general enquiries and provide information to customers, visitors and colleagues
- Manage emails and respond to general enquiries where appropriate
- Receive and distribute deliveries and incoming correspondence
- Provide general administrative and clerical support to the wider team
- Assist with filing, photocopying, scanning and document preparation
- Maintain accurate electronic and paper-based records
- Assist with booking meeting rooms and preparing rooms for meetings
- Support the team with day-to-day office administration
- Liaise professionally with customers, suppliers, contractors and external contacts
- Handle confidential and sensitive information with discretion
- Ensure reception procedures are followed consistently
- Assist with ad hoc administrative tasks and projects as required
- Support the wider team to ensure the smooth and efficient running of the office
About You
We are looking for someone who is friendly, professional, organised and reliable, with excellent communication skills and a strong customer-focused approach.
You will ideally have:
- Previous experience as a receptionist, administrator, customer service administrator or in a similar role
- Excellent written and verbal communication skills
- A friendly and professional telephone manner
- Strong organisational and time-management skills
- Excellent attention to detail and a high level of accuracy
- The ability to manage multiple tasks and priorities in a busy environment
- Strong customer service skills and a professional approach to dealing with visitors and customers
- Good IT skills, including Microsoft Office
- The ability to communicate effectively with colleagues, customers and external contacts
- A professional, approachable and confident manner
- The ability to work independently and as part of a team
- A proactive approach with the ability to use initiative
- A high level of discretion when dealing with confidential information
- A professional, reliable and flexible approach
- Availability to work part-time hours as required
