Job Overview
I am seeking a highly organised and detail-oriented Operations Administrator on a Temporary basis to support our clients team in managing daily office functions and ensuring smooth operational workflows. Duties
- Manage calendar scheduling and coordinate meetings, events, and appointments efficiently.
- Oversee vendor management, including procurement, contracts, and relationship building.
- Handle bookkeeping, accounting, and financial software tasks such as QuickBooks and other accounting tools.
- Assist with payroll processing, human resources functions, and employee onboarding/training.
- Prepare reports using Microsoft Office applications, spreadsheets, and other office software.
- Maintain confidential information with discretion and professionalism.
- Support office operations by managing filing systems, front desk duties, multi-line phone systems, and client communication.
- Organize event planning activities and oversee logistics for company events or meetings.
- Supervise administrative staff or team members as needed to ensure operational efficiency.
- Handle client communication with professionalism via phone etiquette and effective communication skills.
- Contribute to budgeting processes and monitor expenses related to office operations.
Experience
- Proven experience 3-5 years in office administration or office management roles within pharma or engineering sector.
- Demonstrated proficiency with Microsoft Office Suite including Word, Excel (spreadsheets), and Outlook.
- Experience in vendor management, scheduling management, and customer service is highly desirable.
- Supervising or team management experience is a plus.
- Excellent organisational skills combined with the ability to handle confidential information responsibly.
- Strong communication skills-both verbal and written-and professional phone etiquette are essential.
- Ability to multitask effectively in a fast-paced environment while maintaining attention to detail.
