Morgan McKinley is partnering with a client to hire a proactive and detail-oriented Team Administrator to provide comprehensive administrative support within a professional services environment. This role is ideal for someone who thrives in a fast-paced setting, enjoys variety, and takes pride in delivering high-quality support while building strong working relationships across teams.
Key Responsibilities:
- Arrange travel and accommodation using approved systems and tools
- Support client-facing activities including maintaining client databases and assisting with CVs, credentials and RFP materials
- Assist with matter management tasks including time entry, disbursements and billing
- Liaise with IT, facilities and internal teams to ensure the office is safe, functional and well maintained
- Provide ad hoc administrative support to management as required
- Support Legal Secretaries across the region, including overflow work and leave coverage
- Support the Front of House/Facilities team, including reception coverage
- Assist with office and client events, which may occasionally require work outside standard business hours
- Prepare and manage documents including large files, bibles and bundles (hard copy and electronic), ensuring accurate pagination and indexing
- Assist with document production tasks, including document comparison
- Prepare and submit expense claims, following up on receipts and approvals
- Maintain filing systems and records management, including archiving and retrieval of files
- Assist with opening new matters/files, including conflict checks and AML procedures
- Manage diaries, coordinate meetings, arrange room bookings, catering and technical requirements
- Efficiently manage and relay messages, ensuring timely communication and handover during absences
Key Requirements:
- At least 6 months' administrative experience in a fast-paced environment (professional services experience desirable)
- Proficient in Microsoft Office, particularly Outlook, Teams and Word, with the ability to learn new systems quickly
- Strong organisational and time-management skills with the ability to manage changing priorities
- Excellent communication and interpersonal skills with a professional and positive approach
- Calm under pressure with a high level of discretion and confidentiality
- Proactive mindset with a commitment to quality, continuous improvement and teamwork
