Job Description

A leading bank in Singapore is looking to hire a Junior Corporate Secretary to join their well established legal team. If you are interested please submit your CV.

The Role Responsibilities

Team admin and corporate secretarial support;

  • Handle general administration for the team
  • Manage linkage calls
  • Arrange workstation, telephone line, laptop, stationery etc for new staff
  • Raise e-procurement requests in the system and manage the requisitions
  • Process all invoices by raising e-procurement requisitions for payments to be made
  • Upload and prepare meeting papers or discussion packs for Board, Audit Committee, Board Risk Committee and team meetings
  • Co-ordinate logistics (meeting room, equipment, video conference and meals)
  • Update and maintain team organisation chart
  • Assist to organise off site meetings
  • Make travel arrangements for the team and the Board by booking flights, hotel accommodation, airport transfers etc
  • Co-ordinate visa applications by preparing the necessary documents for submission to embassies
  • Submit business travel and general claims in T&E system and maintain files for original receipts and invoices
  • Check and verify expense claims submitted for manager's approval
  • Requisite stationery for department use when necessary
  • Effective follow through ensuring deadlines are not missed
  • Produce work in a timely, complete and accurate manner
  • Responsible Person for certain Blueprint Entities
  • Assist the Singapore Company Secretary and other members of the team with Board, Audit Committee and Risk Committee meeting logistics
  • Assist with preparation of Board, Audit Committee and Risk Committee meeting papers
  • Assist with Branch Director's quarterly Board Declarations forms
  • Co-ordinate Power of Attorney (POA) matters, update in Blueprint and record keeping of original POAs
  • Assist with Blueprint data certification and POA Annual certification matters
  • Liaison with external service providers on Corporate Secretarial matters
  • Other ad-hoc duties as and when assigned

Our Ideal Candidate

  • 5 + years of Corporate Secretarial experience
  • Institute of Chartered Secretaries ("ICSA") qualification or Degree in Accountancy qualification
  • Comfortable dealing with senior management across different countries and cultures
  • A self-starter with a "hands-on" style and able to operate with minimal guidance
  • Responsive and able to pay meticulous attention to detail
  • Good PC skills particularly with Microsoft Word, PowerPoint and Excel
  • Effective communication skills both Verbal and written
  • Reliable, discreet and diplomatic
  • A flexible approach to work and able to work overtime as required
  • A team player who demonstrates good interpersonal skills with ability to prioritise workload and manage conflicting priorities
  • Self-motivation, confident, enthusiasm and practical application
