Position Summary
The Tender Management Specialist manages the end‑to‑end tender and procurement process for the freight forwarding business, ensuring competitive, profitable and compliant proposals to global customers. The role supports the design and execution of sales strategies and works closely with shipping lines and carriers to secure optimal buying rates.
Key Responsibilities
- Manage the full tender lifecycle (RFI/RFQ/RFP) for ocean, air and other freight services, from opportunity receipt to final submission.
- Analyse tender documents, customer requirements and service scopes, and translate them into clear internal instructions and pricing requests.
- Coordinate inputs from Sales, Operations, Finance and Procurement to build accurate, competitive and customer‑focused proposals.
- Work with shipping lines and other carriers to obtain and negotiate buying rates, surcharges and terms, ensuring margin protection and competitiveness.
- Consolidate, validate and upload rate and service data into tender templates and pricing tools with high accuracy.
- Support and help shape account sales strategies through lane profitability analysis, win/loss reviews and market intelligence.
- Monitor tender deadlines, manage internal timelines and ensure all submissions are complete, compliant and on time.
- Maintain records of tender outcomes, feedback and rate agreements, and drive continuous improvement in tender and pricing processes.
Requirements
- Diploma or degree in Logistics, Supply Chain, Business or related discipline, or equivalent experience in freight forwarding.
- 3-8 years' experience in tender management, pricing, or sales support within the freight forwarding / logistics / shipping industry.
- Solid understanding of ocean and/or air freight products, trade lanes, surcharges and carrier pricing structures.
- Strong analytical and problem‑solving skills, with the ability to interpret complex rate structures and customer requirements.
- Confident negotiator with experience liaising with shipping lines, airlines or NVOCCs on rates and terms.
- Excellent communication and interpersonal skills with an outgoing personality and the ability to collaborate across functions and cultures.
- High attention to detail, strong numerical aptitude and advanced proficiency in Excel and other MS Office applications.
- Able to work under pressure, manage multiple tenders simultaneously and meet tight deadlines.
