6-Month Fixed-Term Contract | Full-Time - Hybrid Role | Cork
Are you an organised and proactive administrator who enjoys working in a fast-paced technology environment? We're looking for an Office Operations Coordinator to join our team on a 6-month fixed-term contract. This is an excellent opportunity to gain experience in a growing tech company while supporting key business functions across Revenue Operations, Finance, Sales, and Customer Onboarding.
About the Role
As our Office Operations Coordinator, you'll play an important role in ensuring the smooth day-to-day running of key administrative and operational processes. Working closely with multiple departments, you'll help maintain accurate records, support financial administration, coordinate documentation, and contribute to an excellent customer onboarding experience.
Key Responsibilities
- Support the team with the end-to-end deposit management process and daily administrative activities.
- Assisting their team with the preparation of customer invoices on a weekly basis, ensuring accuracy and timely delivery.
- Maintain and update inventory and stock records, including reducing stock levels based on completed installations.
- Process new stock order requests, prepare quotations for orders.
- Assist with pricing administration by preparing pricing entries for the pricing matrix and submitting pricing updates and invoices for approval.
- Coordinate and compile all documentation required for the successful handover of new customers from the Sales team to the Customer Onboarding team.
- Ensure all records, documentation, and administrative processes are accurate, organised, and completed within agreed timelines.
- Build strong working relationships with internal stakeholders across Finance, Sales, Revenue Operations, and Customer Success.
About You
We're looking for someone who is:
- Highly organised with excellent attention to detail.
- Comfortable managing multiple priorities in a fast-paced environment.
- Confident working with Microsoft Office, particularly Excel.
- An excellent communicator with strong administrative and organisational skills.
- Able to work independently while collaborating effectively with cross-functional teams.
- Experienced in an administrative, operations, finance support, or office coordination role (preferred but not essential).
