Clinic Co-ordniator / Front of house
This is an excellent opportunity for someone with strong healthcare administration, reception or patient-facing experience who is passionate about delivering a professional, reassuring and patient-focused service.
As the first point of contact for patients, the successful candidate will play an important role in supporting patients throughout their treatment journey, while also providing high-quality administrative and secretarial support to the clinical team.
The Role
Working within a busy clinical environment, the Patient Liaison will be responsible for:
- Welcoming patients and visitors and providing a professional and friendly reception service.
- Managing patient check-in and ensuring all relevant paperwork and identification are completed.
- Handling a busy switchboard, patient portal and general patient enquiries by phone and email.
- Scheduling and coordinating appointments including consultations, scans, phlebotomy, semen analysis, counselling and theatre appointments.
- Registering and maintaining accurate patient information on the clinic's database and patient portal.
- Ensuring patient medical histories, intake forms and test results are completed and filed ahead of consultations.
- Liaising with patients, GPs, consultants, counsellors and clinical staff to ensure effective communication and continuity of care.
- Discussing treatment pricing and payment policies with patients, processing payments and issuing invoices/receipts.
- Providing administrative and secretarial support to consultants and the wider clinical team.
- Preparing daily clinic lists, patient charts and documentation.
- Typing and processing patient correspondence accurately and within required timeframes.
- Maintaining accurate and confidential patient records.
- Supporting patient information events and clinic hospitality.
- Assisting with referral processing, reporting and patient enquiry statistics.
- Providing reception cover across clinic/outreach locations when required.
- Ensuring clinic reception and patient areas are maintained to a high professional standard.
- Working in accordance with clinic policies, quality management procedures and relevant legislation.
About You
We are looking for a candidate who can demonstrate:
- Previous experience in a healthcare, medical reception, patient liaison or administrative environment.
- Excellent communication and interpersonal skills.
- A warm, empathetic and professional approach when dealing with patients.
- Strong organisational skills and the ability to manage multiple priorities in a busy environment.
- Excellent attention to detail and accuracy when handling confidential information.
- Confidence dealing with patients, healthcare professionals and sensitive enquiries.
- Strong IT and administrative skills.
- The ability to work effectively as part of a multidisciplinary team.
- A high level of discretion and understanding of patient confidentiality.
- Flexibility to provide cross-cover and support the wider clinic team when required.
