Site Administrator -East Cork
Role
We are looking for an organised and experienced Site Administrator to provide day-to-day administrative support to our client. The successful candidate will play an important role in ensuring site administration, documentation and communication run efficiently.
Key Responsibilities
- Provide administrative support to the Site Manager, Project Manager and wider site team.
- Maintain accurate site records, registers, trackers and project files.
- Manage project document control, including drawings, specifications, RFIs, technical submissions, reports, correspondence and site instructions.
- Ensure documents are correctly filed, distributed, kept up to date and superseded versions archived.
- Coordinate site inductions and maintain records of personnel, visitors, attendance and training.
- Assist with subcontractor onboarding and ensure required documentation, insurance and certifications are received and maintained.
- Liaise with subcontractors, suppliers and site personnel to follow up outstanding information and documentation.
- Assist with purchase orders, delivery dockets, invoices, material orders and general procurement administration.
- Coordinate deliveries and maintain records of materials, plant and equipment arriving on site.
- Maintain Health & Safety, Quality and Environmental documentation and assist with audits and inspections.
- Assist with weekly and monthly project reports, meeting agendas, minutes and action trackers.
- Maintain project spreadsheets and databases, ensuring information is accurate and readily accessible.
- Support project handover and completion documentation.
- Liaise with head office on payroll, procurement, finance, HR and general administration matters as required.
- Act as a professional first point of contact for visitors, subcontractors and suppliers.
- Carry out general administrative duties and provide additional support to the project team as required.
Experience & Skills
- Previous experience as a Site Administrator, Construction Administrator, Project Administrator or similar.
- Construction industry experience preferred.
- Strong organisational skills with the ability to manage multiple tasks and deadlines.
- Excellent attention to detail and a methodical approach to document management.
- Strong written and verbal communication skills.
- Good working knowledge of Microsoft Word, Excel and Outlook.
- Experience maintaining spreadsheets, trackers, registers and databases.
- Ability to work independently, use initiative and follow up outstanding actions.
- Confident and professional when communicating with Site Managers, engineers, subcontractors, suppliers and visitors.
- Strong administration and record-keeping skills.
- Ability to work effectively in a fast-paced site environment.
Desirable
- Experience working on a construction site or within a main contractor environment.
- Experience with construction document-control systems.
- Experience managing subcontractor compliance documentation.
- Familiarity with Health & Safety documentation, permits and site inductions.
- Experience with procurement, purchase orders, delivery dockets and invoice administration.
- Experience supporting residential, commercial, fit-out, civil or other large-scale construction projects.
- Understanding of project handover and close out documentation.
