    About the job

    We are currently recruiting for a Medical Secretary to join a busy and professional healthcare organisation. This is an excellent opportunity for a highly organised, proactive and detail-focused individual who enjoys providing high-quality administrative and secretarial support within a busy medical environment.

    As a Medical Secretary, you will play a key role in supporting clinicians and the wider healthcare team with the day-to-day management of patient care and administrative processes. You will provide comprehensive administrative and secretarial support, assist with clinical correspondence and documentation, manage appointments and communications, maintain accurate patient records and ensure the smooth running of the department.

    Key Responsibilities

    • Provide comprehensive secretarial and administrative support to clinicians and the wider medical team
    • Prepare, format and proofread medical correspondence, clinical letters, reports and other documentation
    • Manage incoming and outgoing correspondence, including emails and post
    • Arrange and manage patient appointments, clinics, meetings and consultations
    • Maintain accurate and up-to-date electronic and paper-based patient records
    • Register new patients and maintain accurate patient information
    • Process referrals, investigations, results and other clinical documentation as required
    • Liaise professionally with patients, GPs, consultants, hospitals, healthcare professionals and other external organisations
    • Answer telephone calls and deal with patient enquiries in a professional, sensitive and confidential manner
    • Manage clinician diaries, appointments, meetings and clinic schedules
    • Coordinate follow-up appointments, investigations and other patient requirements
    • Assist with the preparation and submission of referral letters and clinical documentation
    • Monitor key dates, appointments, investigations and follow-up requirements
    • Ensure clinical correspondence and documentation are completed accurately and within required timescales
    • Maintain accurate records of patient information and administrative activity
    • Assist with patient onboarding and registration, including requesting and maintaining relevant documentation
    • Process medical records, test results and other patient-related information in accordance with internal procedures
    • Assist with billing, invoicing and payment administration where required
    • Maintain a high level of confidentiality when handling sensitive patient and clinical information
    • Ensure all administrative processes are carried out in accordance with relevant healthcare policies and procedures
    • Provide general administrative support to the wider clinical and administrative team
    • Assist with ad hoc projects and other administrative duties as required

    About You

    We are looking for someone who is highly organised, proactive and detail-focused, with excellent communication skills and a strong understanding of the importance of accuracy, confidentiality and professionalism within a healthcare environment.

    You will ideally have:

    • Previous experience as a medical secretary, medical administrator, secretary or in a similar healthcare role
    • Previous experience working within a medical, healthcare or professional services environment
    • Excellent written and verbal communication skills
    • Strong organisational and time-management skills
    • Excellent attention to detail and a high level of accuracy
    • The ability to manage multiple priorities and deadlines in a busy environment
    • A professional, friendly and empathetic telephone manner
    • The ability to communicate effectively with patients, clinicians, colleagues and external healthcare professionals
    • Strong document preparation, formatting and proofreading skills
    • Good IT skills, including Microsoft Office
    • Experience using clinical, patient management or electronic medical record systems would be advantageous
    • A proactive approach with the ability to anticipate the needs of clinicians and the wider healthcare team
    • The ability to work independently and as part of a team
    • A high level of discretion when dealing with confidential and sensitive patient information
    • A professional, reliable and flexible approach to supporting the smooth running of the medical department
