Executive Assistant
Location: East Cork (Hybrid Working)
Salary: €45,000 - €50,000 DOE
Contract: 12 months
An exceptional opportunity has arisen to join a fast-paced, global organisation in a high-trust Executive Assistant capacity supporting a senior leadership function. This is a pivotal role for an experienced EA who thrives in complexity, operates with absolute discretion, and is confident managing competing priorities at pace.
You will act as a key extension of senior leadership, enabling operational efficiency, ensuring seamless coordination across multiple stakeholders, and anticipating needs before they arise. This is a role for someone who is highly organised, commercially aware, and comfortable operating in a dynamic, multinational environment.
Key Responsibilities
Executive & Strategic Support
- Provide high-level support to senior leadership, acting as a trusted gatekeeper and first point of contact where appropriate
- Proactively manage complex and fast-moving calendars across multiple stakeholders and time zones
- Anticipate scheduling conflicts and resolve them with minimal escalation, ensuring optimal use of executive time
Meeting & Stakeholder Coordination
- Organise and coordinate high-profile internal and external meetings, including leadership forums and cross-functional sessions
- Manage full end-to-end logistics including venues, virtual platforms, materials, agendas, and catering where required
- Liaise confidently with senior internal and external stakeholders to ensure smooth coordination
Travel Management
- Arrange complex international and multi-leg travel itineraries with precision and efficiency
- Manage visa, passport, and compliance requirements for global travel
- Ensure all travel logistics align with business priorities and changing schedules
Financial & Administrative Oversight
- Process and reconcile detailed expense reports with a high degree of accuracy
- Support budget tracking and ensure adherence to internal policies and controls
Operational Excellence & Project Support
- Produce and refine high-quality documents, reports, presentations, and briefing materials
- Support onboarding and integration of new team members as required
- Identify and implement improvements to administrative processes and workflow efficiency
- Act as a reliable backup within the wider EA/administration network during peak periods
- Support ad-hoc projects and strategic initiatives as required by leadership
About You
- Significant experience in a senior Executive Assistant or high-level Personal Assistant role (essential)
- Proven ability to support senior stakeholders in a complex, fast-paced, multinational environment
- Exceptional organisational skills with the ability to manage multiple priorities simultaneously
- Strong judgement, discretion, and professional maturity
- Advanced proficiency in Microsoft Office and collaboration tools
- Confident communicator with strong stakeholder management skills at all levels
- Proactive, resourceful, and comfortable working with minimal supervision
