About the Company:
My client is a boutique, fast-growing real estate agency with offices in Ranelagh and Terenure.
Role Overview:
To provide administrative and clerical support to ensure efficient operation of the office, while serving as the first point of contact for clients, visitors and callers. The Secretary / Receptionist will handle a variety of administrative tasks and maintain professional communication.
Front of House/ General Office duties:
- Greeting all walk-in clients (buyers, sellers and viewings) with a professional friendly
- manner.
- Managing a busy switchboard; screening and forwarding calls and taking detailed messages.
- Lead Qualification: Handling initial property enquiries and gathering key information from
- prospective applicants before passing them to the sales or lettings teams.
- Managing incoming/outgoing post and maintaining office supplies.
- Support basic bookkeeping - sending out booking deposit receipts
- Ensure compliance with office policies and confidentiality protocols with office manager.
- Update contact lists, directories and CRM
Property Administrative Support:
- Preparing and formatting property particulars and window displays.
- Typing brochures and letters
- Scheduling, downloading and uploading photographs onto our CRM
- Place properties live on our CRM
- Handling initial property enquiries and gathering key information from prospective
- applicants before passing them to the sales teams.
- Support the office manager ensuring the office is kept up to date and compliant with GDPR
- regulations.
- Scheduling property viewings, valuations, and inspections using the agency's CRM system.
Skills & Experience Required
- A strong communicator with excellent written and proofreading skills.
- Good working knowledge of MS Office including Excel, Outlook and Word.
- Strong organisational skills and an ability to prioritise key tasks.
- Excellent attention to detail and accuracy.
- Enthusiasm to learn and develop new skills relevant to the role.
- Ability to work independently, take initiative and manage multiple responsibilities.
