An established pharmaceutical company based in Ringaskiddy is seeking a highly organized and proactive Executive Assistant / Office Manager to join its team. This is a full-time, fully onsite role supporting the VP of International Pharma Sales while also assisting with HR and general office operations.

Location: Fully onsite in Ringaskiddy, Co. Cork
Salary: €40,000 - €45,000 depending on experience
Annual Leave: 22 days
Work Hours: 39-hour work week with flexible start between 7:30AM - 9:30AM

The Role:
This is a support role with responsibility across three core areas:
Executive Assistant Duties
Manage the complex calendar, appointments, and international travel for the VP of International Pharma Sales
Prepare agendas, take minutes, and track action items from meetings
Handle confidential matters with professionalism and discretion
Provide project and administrative support as required
HR Support
Assist with onboarding and offboarding processes, including documentation and scheduling
Coordinate recruitment activities such as interview scheduling and candidate communications
Support employee training, engagement initiatives, and wellness programs
Serve as a point of contact for HR-related queries and policy guidance
Office Management
Oversee office policies and daily operations to ensure efficiency
Manage office supplies, equipment, and facilities, liaising with vendors and contractors
Act as the Cork site's main point of contact for IT, working with external providers and the internal IT manager
Coordinate company travel, on-site meetings, and events
Assist with meeting room bookings and support the Industrial Department in scheduling medical appointments
Support infrastructure planning, reporting, and ad-hoc tasks as required
Key Requirements:
Previous experience in an Executive Assistant, Office Manager, or similar support role
Strong proficiency in Microsoft Office Suite, particularly Excel and PowerPoint
Experience managing busy diaries, booking international travel, and handling logistics
Excellent communication, multitasking, and problem-solving skills
High level of discretion and professionalism
Ability to work independently while also collaborating across teams
Familiarity with HR procedures and recruitment coordination is advantageous
