Please note: Due to the location of the site, a full driving licence and access to your own transport are essential, as the site is not easily accessible by public transport.
The Role
As Document Control Administrator, you'll play a key role in supporting the team by managing documentation, maintaining records and databases, and ensuring internal systems remain accurate and up to date.
Your responsibilities will include:
- Managing document control processes, including version control, document distribution and record maintenance.
- Coordinating document reviews and updates with internal stakeholders.
- Maintaining electronic filing systems, databases, registers and controlled records.
- Updating internal systems, trackers and logs, ensuring data accuracy and integrity.
- Preparing reports, spreadsheets and trackers using Microsoft Excel.
- Monitoring document acknowledgements and following up on outstanding actions.
- Coordinating departmental actions and ensuring deadlines are met.
- Supporting the preparation of documentation for meetings, audits and inspections.
- Maintaining supplier records, operational documentation and other departmental records.
- Coordinating staff training records and monitoring mandatory training completion.
- Providing general administrative and coordination support to the wider team.
- Identifying opportunities to improve document management processes and administrative workflows.
About You
You'll be an experienced administrator who enjoys working with systems, documentation and data, with the ability to manage multiple priorities while maintaining exceptional accuracy.
You'll bring:
- Previous experience in an administration, document control or coordination role.
- Excellent organisational skills and exceptional attention to detail.
- Strong Microsoft Office skills, particularly Microsoft Excel.
- Experience maintaining databases, trackers and electronic filing systems.
- The ability to prioritise workloads and meet deadlines in a busy environment.
- Strong communication skills and the confidence to liaise with colleagues across different teams.
- A proactive approach with a commitment to accuracy and continuous improvement.
Desirable Experience
- Previous document control or records management experience.
- Experience using electronic document management or quality management systems would be highly beneficial
- Experience working within a regulated or compliance-driven environment such as healthcare, pharmaceutical, manufacturing, medical devices would be advantageous.
- Experience producing reports and analysing data using Excel.
- Familiarity with structured documentation and business processes.
