Site Administrator
Location: Cork city
Position Type: Full-Time, Temporary with potential of permenancy for the right candidate
Our client is a well-established player in the Cork city and county construction sector, seeking an experienced, proactive Site Administrator to join their team
As the Site Administrator, you will be the operational backbone of the project. You will be onsite keeping the site office running like clockwork. You will manage documentation, coordinate subcontractor compliance, and ensure that all health, safety, and environmental tracking is completed to an excellent standard
Subcontractor Management: Own the end to end subcontractor onboarding process. Verify and track insurances, RAMS (Risk Assessments and Method Statements), competencies, and training certificates before they step on site.
Health & Safety Documentation: Maintain the Site Safety File. Coordinate and log site inductions, tool-box talks, accident books, and safety inspections, ensuring full compliance with current regulations.
Quality & Environmental Records: Manage waste transfer notes, delivery tickets, and material certifications, cross-referencing them against orders.
Document Control: Utilize project management and Document Control systems (e.g., Procore, Aconex, Viewpoint, or similar) to upload, track, and distribute drawings, RFIs, and site instructions.
Data Accuracy: Keep digital daily site diaries, labor trackers, and plant logs accurate and up to date.
Act as the primary point of contact for visitors, clients, and suppliers arriving on site.
Assist the Site Manager and Project Manager with ad-hoc reporting, meeting minutes, and typing up site reports.
Manage site office logistics, including ordering PPE, stationery, and welfare supplies.
Experience: Minimum 4+ years of dedicated administration experience strictly within the construction or engineering sectors. You must understand site terminology and how a live build operates.
Paperwork Expertise: Proven experience handling high volumes of Health & Safety paperwork, compliance documentation, and subcontractor files.
Superb Systems Skills: Highly tech savvy. You should be advanced in MS Office (Word, Excel) and have hands-on experience using industry-specific construction management or document control software. You pick up new systems quickly.
Airtight Attention to Detail: Spotting an expired insurance certificate or a missing signature should be second nature to you.
Communication Style: Assertive yet approachable. You are comfortable chasing busy subcontractors for missing paperwork and working alongside site management teams.
