As the Reception & Administration Officer, you will be the premier face and voice of the firm. This position combines high-touch reception and hospitality management with essential backend office operations, procurement, and vendor coordination. It is an ideal role for a proactive, service-oriented individual who excels at multitasking in a fast-paced corporate setting.
Manage daily reception duties, including greeting corporate visitors, handling incoming inquiries/correspondence, managing calls, and providing executive hospitality services.
Oversee meeting room booking schedules, handle visitor access arrangements, and coordinate high-level meeting setup and logistics.
Take charge of all incoming/outgoing mail, courier services, local deliveries, and internal document distribution tracking.
Manage inventories and handle the purchasing lifecycle for office supplies, stationery, and pantry items, including sourcing vendors and obtaining competitive quotes.
Act as the operational touchpoint for facilities vendors, assisting in the coordination of office cleaning, general maintenance, and equipment repairs.
Provide basic user support for digital office setups (such as door access security and desk booking systems) while assisting with logistics for corporate events and internal activities.
Holder of a Diploma or Degree in Business Administration, Hospitality, Corporate Management, or a related discipline.
5 years or above of solid experience across corporate reception, hospitality, or general office administration. Experience within financial institutions or sizable MNCs is highly preferred.
Highly presentable, professional, and deeply customer-service oriented with a proactive attitude.
Strong verbal and written communication skills in English and Chinese
Familiarity with standard Microsoft Office applications expecially Excel
Excellent organizational skills with a proven capacity to prioritize tasks, multi-task effectively, and take responsibility for both frontend and backend operations.
