We are currently partnering with a well-established and growing organisation within the distribution sector to recruit a Returns Administrator. This is an excellent opportunity for a detail-oriented and organised individual to take ownership of a critical function within a busy operations environment.
This role will see you acting as the central point of control for all returns processes, ensuring they are managed efficiently, accurately and within agreed timelines from initial request through to final resolution.
You'll work cross-functionally with warehouse, logistics, sales and accounts teams, playing a key role in maintaining smooth operations and high levels of customer satisfaction.
During quieter periods, you will also provide support to the internal sales team, assisting with customer enquiries and order processing.
Key Responsibilities
- Take full ownership of all returns from initiation to completion
- Log, track and manage all return requests on a daily basis
- Validate return claims (damages, shortages, incorrect supply, etc.)
- Coordinate with warehouse and goods-in teams for inspections and checks
- Arrange return collections with drivers where required
- Ensure all returns are progressed efficiently with no delays or backlog
- Maintain accurate and complete documentation (PODs, images, notes)
- Liaise with accounts to ensure timely credit processing
- Keep accurate records within the ERP system
- Provide regular updates to customers on return status
- Identify recurring issues and contribute to process improvements
Additional Responsibilities (as required):
- Support the sales team with inbound calls and customer queries
- Assist with order processing and stock-related enquiries
About You
- Previous experience in a similar administrative or returns-focused role
- Highly organised with the ability to manage multiple tasks simultaneously
- Strong attention to detail and a high level of accuracy
- Proactive, with a strong sense of ownership and accountability
- Excellent communication skills, both internal and customer-facing
- Ability to work effectively under pressure and meet deadlines
- Comfortable using ERP systems (experience with Intact IQ is beneficial but not essential)
- Proficient in Microsoft Office (Excel, Outlook, Word)
- Experience within plumbing, construction, or related sectors is advantageous
