About the Role
We are currently seeking a receptionist to join our client in south Dublin. This is a full-time, permanent role. You will serve as the primary ambassador for the facility, creating a warm, supportive, and professional environment for residents, families, and visitors from the moment they step through our doors.
Working closely with the Director of Nursing and Administration, you will coordinate front-desk operations and provide comprehensive administrative support across the organisation. This position requires someone who thrives in a bustling healthcare environment, possesses exceptional multitasking abilities, and can handle shifting priorities with poise and efficiency.
Key Responsibilities
- Visitor & Communications Management:
- Welcome and greet all visitors, residents, and staff with a professional and friendly demeanour.
- Answer, screen, and route incoming phone calls, and manage general email inquiries.
- Oversee the visitor booking system and assist with care center viewings and enquiry management on EpicCare.
- Manage internal communications via the '3' Text Communications system.
- Front Office Administration:
- Keep the reception area pristine, welcoming, and fully stocked with necessary stationery and informational materials.
- Handle incoming and outgoing post, courier deliveries, and correspondence.
- Order front office supplies and maintain accurate inventory stock levels.
- Perform general clerical duties, including filing, photocopying, transcribing, and faxing.
- Care Centre Support Systems:
- Assist in updating and maintaining the care centre's policies and procedures.
- Process card payments securely via the terminal and issue receipts to residents or relatives when needed.
Qualifications & Essential Skills
- Experience: Proven professional experience working as a Receptionist, Front of House Coordinator, or in a similar administrative role.
- Technical Proficiency: Strong computer skills, including proficiency in the Microsoft Office Suite and hands-on experience operating standard office equipment (printers, scanners).
- Organisational Skills: Outstanding time-management capabilities, with the proven ability to multitask.
- Communication: Fluent in written and spoken English.
