We are looking for a professional and welcoming Receptionist to manage our client front desk and perform a variety of administrative tasks. You will be the first impression of our company, so a positive demeanor and excellent communication skills are essential. Your goal is to ensure all visitors feel supported and that daily office operations run smoothly.
Greeting & Check-in: Warmly welcome visitors, determine their needs, and notify the appropriate staff members of their arrival.
Call Handling: Answer, screen, and forward incoming phone calls while providing basic information when needed.
Visitor Security: Maintain office security by following safety procedures, monitoring logbooks, and issuing visitor badges.
Mail & Logistics: Receive, sort, and distribute daily mail/deliveries; prepare outgoing mail and courier packages.
Scheduling: Manage meeting room bookings and coordinate appointments or travel arrangements for staff.
Data Entry: Maintain and update digital filing systems, contact lists, and employee directories.
Supply Management: Monitor inventory of office and kitchen supplies; place orders to ensure the office remains fully stocked.
Ensure the reception area and common spaces (like breakrooms or conference rooms) are tidy and presentable.
Provide basic technical support for office equipment (printers, scanners, or coffee machines).
