We are seeking a highly analytical and detail-oriented Payroll Specialist III to oversee and manage end-to-end payroll operations across the EMEA region. In this role, you will collaborate with outsourced payroll processors to support multiple international entities, ensure strict statutory compliance, and drive process efficiencies. The ideal candidate brings a blend of traditional regional payroll expertise and a forward-thinking mindset, leveraging modern tools and AI technologies to optimize workflows.
Key Responsibilities
Payroll Operations & Vendor Management
- Regional Payroll Oversight: Collaborate with outsourced support teams and processors to manage end-to-end payroll for entities across EMEA (including France, Switzerland, Poland, Italy, Sweden, Netherlands, Germany, Greece, Czech Republic, Belgium, Bulgaria, Kenya, Senegal, Nigeria, and Denmark).
- Vendor Performance: Monitor payroll service providers' adherence to SLAs, conduct root cause analyses for any operational issues, and implement swift remediation and resolution strategies.
- Inquiry Management: Manage Salesforce case queues for payroll-related inquiries, ensuring timely resolution and appropriate escalation.
Compliance, Controls & Stakeholder Relations
- Internal Controls & SOX: Maintain robust internal controls and evaluate current processes to ensure strict compliance with SOX and other regulatory standards.
- Statutory Compliance: Own payroll compliance and filings, directly responding to ad hoc requests from local statutory authorities and Internal Audit.
- Cross-Functional Collaboration: Manage relationships with internal stakeholders (HR, Benefits, Equity Team) and external partners (Service Providers, local authorities, auditors) for business initiatives and escalations.
Process Optimization & Analytics
- Data Analytics: Analyze and prepare payroll data analytics and reporting for leadership review, identifying key trends and opportunities for improvement.
- Continuous Improvement: Demonstrate initiative in driving process improvements, automation initiatives, and exploring innovative workflow solutions.
Qualifications
Minimum Qualifications
- Education: Bachelor's degree in Finance, Business Administration, or a related field.
- Experience: Minimum of 5 years of relevant regional Payroll Operations experience within international payroll, preferably within a fast-growing multinational environment.
- Systems: Proven proficiency with ADP Celergo and/or SAP.
- Regional Knowledge: Deep working knowledge of EMEA payroll regulations, tax laws, and compliance requirements applied across multi-country payroll processing.
- Team Dynamics: Proven track record of managing offshore payroll teams and working effectively with outsourced vendors across geographically dispersed teams.
- Communication: Exceptional English communication skills (written and verbal) required for cross-regional coordination.
Preferred Qualifications
- Scale: Experience supporting Payroll Operations across 10 or more EMEA countries simultaneously.
- AI & Automation Skills:
- Demonstrated ongoing AI skill development (e.g., prompt/context engineering, agent orchestration) and familiarity with emerging AI technologies.
- Proven ability to integrate AI tools to optimize/redesign workflows to drive measurable impact (efficiency gains, quality improvements).
- Experience implementing responsible, ethical AI practices (risk assessment, bias mitigation, and accuracy reviews).
- Data & Privacy:
- Strong familiarity with GDPR requirements regarding employee payroll data handling and retention.
- Advanced proficiency in data analysis tools (e.g., advanced Excel) for complex payroll reconciliation.
- Systems Integration: Experience contributing to payroll system implementations, migrations, or process automation initiatives.
