A leading provider of occupational health and wellbeing services across the UK and Ireland is seeking an experienced Medical Administrator to join their growing team in Dublin.
This role is based within a modern clinical facility in Carrickmines and offers the opportunity to work within a fast-paced healthcare environment supporting a national network of Occupational Health Physicians.
Our client is looking for a highly organised and professional individual with strong communication skills, excellent attention to detail, and a proven ability to manage administrative responsibilities within a busy clinical or healthcare setting.
Provide comprehensive administrative support to Occupational Health Physicians and the wider national clinical network.
Manage a busy phone and email system, responding to client enquiries efficiently and professionally.
Coordinate, schedule and manage clinician appointments using the Meddbase system.
Confirm, reschedule and track appointments for clinicians across the national network.
Maintain accurate and up-to-date patient records within internal systems.
Ensure all patient documentation is prepared and available for clinical appointments.
Compile and issue reports within agreed turnaround times following clinics.
Produce activity reports for client organisations where required.
Maintain databases relating to appointments, follow-ups and patient records.
Provide administrative support to clinical staff and ensure smooth day-to-day operations.
Ensure all communications and record management comply with GDPR and Data Protection regulations.
Assist with reception cover when required.
Support appointment system administration and payments, including end-of-day reconciliation.
Identify opportunities to improve service delivery and minimise delays for clients and patients.
The successful candidate will demonstrate:
Minimum 4 years' experience in a similar administrative role, ideally within healthcare.
Strong organisational and multitasking abilities with excellent attention to detail.
A professional, confidential and discreet approach to sensitive information.
Excellent interpersonal and communication skills.
A positive, proactive attitude and ability to work collaboratively within a team.
Strong time management skills and the ability to meet deadlines in a fast-paced environment.
High proficiency in Microsoft Office (Word, Excel, Outlook).
Experience with medical or appointment booking systems (e.g., Meddbase) would be advantageous.
Strong customer service orientation and the ability to build rapport with patients and clients.
