I'm currently hiring on behalf of my client, a leader in the Legal Industry in Dublin for a Legal Personal Assistant to support their Partners and Associates in the Property team.
Role: Legal PA (Property Team)
Location: Dublin City Centre
Key Requirements: Previous experience supporting at Partner level in a Senior Legal PA role on a property team.
About the role: This is a pivotal role providing 360-degree administrative and secretarial support to a dedicated group of Partners and Associates. The ideal candidate will act as a true gatekeeper, managing high-stakes daily operations with absolute precision and professional discretion.
Key Responsibilities:
- Strategic Coordination: Manage complex, multi-time-zone diaries and end-to-end travel logistics.
- Travel & Client Briefings: Curate comprehensive Business Development portfolios for international trips, including bespoke research, stakeholder bios, and strategic contact briefings.
- High-Stakes Documentation: Produce and edit sophisticated legal documents via digital dictation and manuscript drafts, ensuring strict adherence to premium firm-wide branding and quality standards.
- Financial Administration: Proactively manage the full billing lifecycle and matter management.
- Business Development & CRM: Leverage CRM tools to track BD activity, conduct market research for prospective client meetings, and maintain high-integrity contact databases.
- Communication Management: Oversee Partner email flow, prioritizing urgent correspondence and acting as a professional point of contact for high-profile clients.
- Information Management: Maintain rigorous electronic and physical filing systems in line with strict compliance and data protection standards.
The perfect fit will have:
- Experience: Minimum of 4+ years of experience as a Legal PA or Secretary supporting Senior Partners/Principals within a fast-paced legal environment.
- Technical Mastery: Advanced proficiency in MS Office (Word, Excel, PowerPoint) and experience with industry-leading Document Management Systems (DMS) and digital dictation software.
- Financial Literacy: Proven experience navigating legal billing and time-recording systems.
