We are seeking a proactive and detail-oriented Executive Assistant to provide high-level administrative support to Partners, Directors, and the wider team. This dynamic role requires exceptional organizational skills, strong discretion, and the ability to thrive in a fast-paced environment.
Key Responsibilities
Manage Partner and Director diaries, calendars, and Outlook email inboxes proactively.
Coordinate travel arrangements, expenses, invoices, timesheets, and meeting logistics (room bookings, Teams/Zoom, catering).
Create high-quality PowerPoint presentations, proposal documents, and meeting packs.
Maintain internal databases, run specific reports, and build relationships with clients and internal teams.
Assist with marketing initiatives, team social events, and office entertainment.
Provide holiday cover for administrative peers and support ad-hoc team projects.
Requirements
Advanced skills in MS Office (Word, PowerPoint, Excel) and Outlook management.
Proven experience managing large documents, presentations, and busy schedules.
Outstanding interpersonal, communication, and multi-tasking skills with high attention to detail.
Ability to work unsupervised, prioritize under pressure, and handle confidential information with discretion.
Familiarity with SAP, CRM, SmartTime, or ChromeRiver is a plus (training provided).
