About the Role
We are looking for an Enablement Operations Coordinator to support the platforms Emergency Response and Program Partner onboarding activities.
In this role, you'll be responsible for the end-to-end administrative and operational setup of new partners, ensuring they are correctly onboarded, funded and ready to support people affected by crises.
You'll become a key point of contact for the operational processes behind partner onboarding, working closely with teams such as Finance, Legal and Program teams to ensure everything is completed accurately and on time.
This is a highly organised, detail-focused role that would suit someone who enjoys working with structured processes, coordinating across multiple teams and improving how operational workflows work as an organisation grows.
Key Responsibilities
Partner Onboarding & Response Setup
- Own the end-to-end setup and configuration of Emergency Response activities for each new partner intake, following established Standard Operating Procedures (SOPs).
- Manage the configuration and processing of partner award letters, ensuring information is accurate and completed within required timelines.
- Coordinate partner payment setup, gathering required information and ensuring all configuration steps are completed.
- Execute the full partner onboarding checklist, including data entry, system configuration and maintaining accurate records.
- Transfer and reconcile partner information across different systems where automation is not yet available.
- Ensure partner records and information remain accurate, consistent and up to date throughout the onboarding process.
Cross-Functional Coordination
- Work closely with cross-functional teams including Finance, Legal and Program teams to confirm onboarding requirements have been completed.
- Track outstanding actions and proactively follow up with relevant teams to ensure tasks are closed out.
- Communicate clearly with stakeholders and escalate issues when required.
- Help ensure partners are fully operational and ready to support emergency response efforts within required timelines.
Process Improvement & Documentation
- Identify bottlenecks, recurring errors and volume increases within the onboarding process.
- Raise operational challenges with the wider team and contribute ideas for improving processes.
- Identify opportunities for increased automation and efficiency as workflows develop.
- Maintain accurate and up-to-date SOPs and process documentation.
- Support the evolution and scaling of operational processes as the orginisation continues to grow.
Key Qualifications
- 2+ years' experience in operations, program coordination, onboarding, partner/vendor administration or a similar role.
- Strong attention to detail and a high level of accuracy, particularly when handling repetitive or high-volume work.
- Comfortable working independently within structured SOPs and processes, with good judgement around when issues should be escalated.
- Strong communication and stakeholder management skills, with confidence following up across multiple teams.
- Experience using CRM, ticketing or workflow management systems such as Salesforce, Asana or Smartsheet is preferred.
- Strong organisational and time-management skills.
- Ability to manage competing priorities while maintaining accuracy and meeting deadlines.
- Experience within nonprofit organisations, disaster response, emergency response or grants administration would be advantageous but is not essential.
- Spanish or French language skills are preferred.
Working Environment
Emergency response setup and configuration can be time-sensitive and linked to real-world events. As a result, this position requires some flexibility and occasional availability outside standard working hours, including weekends, when emergency response efforts need to be established.
