We are currently recruiting for a Senior Legal Secretary with a minimum of 5 years experience to join a busy and professional law firm. This is an excellent opportunity for a highly organised, personable, and proactive individual to provide high level secretarial support to Partners while supporting a dynamic clinical law team.
As a Senior Legal Secretary, you will play a key role in managing complex clinical law documentation - including medical records, expert reports, and court papers - coordinating diaries and billing processes, handling sensitive client communications, and maintaining accurate legal records.
The ideal candidate will have extensive experience in a legal environment, specifically within clinical law or medical negligence, exceptional communication skills, sharp attention to detail, and a compassionate, client-focused approach.
Key Responsibilities
Provide high-level secretarial and administrative support to Partners and Fee Earners in clinical law
Draft, format, and proofread legal documents, medical-legal reports, instructions to experts, and court bundles
Manage diaries, schedule client consultations, court dates, and medical expert meetings
Request, paginate, index, and manage complex medical records and sensitive case files
Handle client onboarding, conflict checks, and file opening/closing processes
Oversee billing procedures, time recording entries, and invoice preparation
Answer calls, manage client enquiries empathetically, and handle incoming/outgoing correspondence
Maintain accurate, compliant physical and electronic legal filing systems
Handle confidential, sensitive medical and legal information with complete discretion
Mentor junior administrative staff and assist with ad hoc legal projects as required
About You We are looking for someone who is professional, organised, and proactive, with strong attention to detail and a commitment to high standards.
You will ideally have:
Solid previous experience in a legal secretary or senior legal administration role, with direct exposure to clinical law or medical negligence cases
Strong knowledge of legal terminology, medical record management, and legal billing software
Excellent written and verbal communication skills with a compassionate manner
Superior time-management skills with the ability to manage competing deadlines
High proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and digital dictation
Excellent discretion when handling confidential legal and medical matters
Strong ability to work independently, use initiative, and collaborate within a team
Qualifications & Experience
Proficiency in Microsoft Office and Legal Practice Management systems
Substantial experience working in a professional legal environment, specifically within clinical law
Third-level education or a relevant Legal Secretarial qualification is advantageous
