Finance & Office Coordinator
Role Overview
The Finance and Administrative Assistant is responsible for the daily financial operations and internal administrative workflows of the company. This is a dual-focus role requiring a high level of numeracy, organizational expertise, and the ability to operate independently to ensure the "back office" runs efficiently.
Key Responsibilities
Financial Administration
- Accounts Management: Process all accounts payable and receivable, ensuring invoices are logged and paid on schedule.
- Bookkeeping: Maintain accurate ledgers and perform regular bank reconciliations using internal accounting software.
- Data & Reporting: Update and manage financial spreadsheets in Excel; prepare weekly or monthly reports for the leadership team.
- Compliance: Ensure all financial documentation, receipts, and tax records are organized and accessible.
Office & Process Management
- Workflow Optimization: Review current administrative procedures and implement more efficient digital or physical filing systems.
- In-House Coordination: Serve as the primary point of contact for office inquiries, managing vendor relationships and general facilities.
- Project Support: Assist Business Owners with ad-hoc administrative tasks, including documentation for renewable energy projects and contract management.
- Data Integrity: Conduct regular audits of company records to ensure all data is clean, accurate, and up to date.
Required Skills & Experience
- Professional Experience: Proven background in an accounts assistant, bookkeeping, or senior administrative role.
- Technical Proficiency: Strong command of MS Excel (vlookups, pivot tables) and experience with accounting software (e.g., Xero, QuickBooks, or Sage).
- Organisational Skills: A logical approach to task management.
- Independence: Comfortable working as the sole administrative presence and taking full ownership of daily tasks.
