The Opportunity
An excellent opportunity has arisen for a professional and highly organised Front of House Administrator to join our client's team on a short term assignment in their Shannon office.
Reporting to the Executive Assistant, you will be the face of the company, responsible for delivering an exceptional front-of-house experience. You will also provide vital administrative support to the Executive and Management teams, making you a central figure in the smooth operation of the office.
Key Responsibilities
- Front of House Management:
- Act as the first point of contact, providing a warm and professional welcome to all visitors and managing the sign-in process.
- Answer and direct all inbound calls promptly and efficiently.
- Ensure the reception area is immaculate and professionally presented at all times.
- Manage security access cards for employees and visitors.
- Coordination & Office Management:
- Oversee the management of meeting room calendars, ensuring rooms are booked correctly and prepared with necessary supplies.
- Handle all incoming and outgoing post and courier services, including sorting and distributing deliveries.
- Proactively manage stock levels of office stationery and kitchen supplies, placing orders with suppliers as needed.
- Administrative Support:
- Provide ad-hoc administrative support to the Executive and Management teams, including scanning, photocopying, binding, and filing.
- Coordinate travel arrangements, including booking taxis and maintaining accurate travel logs for employees.
- Process invoices for payment using the company's invoicing system.
- Handle all confidential material (both written and verbal) with the utmost professionalism and discretion.
- Assist the Office Manager with various projects and report/resolve minor facilities issues.
Skills & Experience
- Proven experience in a busy receptionist or front-of-house role is essential.
- Demonstrable experience in an office administration capacity.
- A background in Financial Services is highly desirable but not essential.
