Job Description

NBI is looking for an experienced Executive Assistant who wants to jump in head-first and provide high level support to the CEO and the SMT of National Broadband Ireland Infrastructure


We're National Broadband Ireland and we're delivering the largest telecommunications project that Ireland has ever seen. We're designing, building and operating Ireland's new, high-speed wholesale broadband network under the National Broadband Plan. Our aim is to radically transform the country's broadband landscape through the delivery of quality, affordable high-speed broadband to all parts of Ireland where such services are not available commercially.

The NBI™ network using a combination of State subsidy and commercial investment will deliver high-speed broadband to over 1.1 million people and over 554,000 premises in Ireland. No matter how remote or rural, no town, village or community will be left behind. NBI will be responsible for the management of the new national broadband network for the next 25 years.

Key Objectives / Accountabilities:

NBI is looking for an experienced Executive Assistant who wants to jump in head-first and provide high level support to the CEO and the SMT of National Broadband Ireland Infrastructure. The position requires excellent organisational skills and the ability to be proactive in supporting their needs. The candidate should have excellent communication and interpersonal skills and should be proactive and organised in a systematic way. Along with having great interpersonal skills you will be highly organised, you will have excellent coordination skills, be a masterful problem-solver and you will be resourceful in building relationships with peers and across other departments. Ideally you will have worked within a global organisation. Experience managing complex diaries, booking travel would be highly regarded. This role comes with a high level of expectation, and you will be supporting at a senior level

Key Responsibilities:

  • Diary management and appointment booking
  • Expertly manage and filter all incoming calls as well as keeping shareholders informed of business programs and processes
  • Liaise with clients, agencies and third-party suppliers as required
  • Meeting coordination to include scheduling, room booking, agenda preparation, catering, logistics, AV / tech proactively and using initiative
  • Minute taking and dissemination and follow up of same
  • Monitoring and making suggestions on company websites and social media
  • Document preparation - preparation of reports, minutes, presentations and letters to company standard typing and proofing
  • Correspondence and email management
  • Travel coordination - overseas and domestic travel to include flights, visas, hotels, dining and leisure and preparation of itineraries for same
  • Expense and credit card management
  • Expert administrative support
  • Other ad hoc duties as required

Knowledge & Experience:

  • Minimum of 5 years' Executive Assistant experience
  • Excellent self-directed administration skills with an ability to work unsupervised on day-to-day duties and tasks
  • Experience in managing a busy diary - have experience with managing scheduling conflicts with ease
  • Experience in coordinating frequent travel (domestic and abroad)
  • Ability to use tact with a high level of discretion and confidentiality
  • A high degree of enthusiasm and adaptability
  • Responsive and flexible approach to work, with a "can-do" attitude to requests and
  • Self-motivated with a proactive attitude to implementing solutions and problem solving
  • Ability to produce results under strict/short deadlines or for longer term projects / tasks
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
  • Reliability / Flexibility
  • Excellent interpersonal & communication skills
  • Flexibility and a willingness to undertake varied responsibilities while working alone
  • Excellent ambassador for NBI, promoting the organisation and role modelling NBI's values.
