We are currently hiring on behalf of our client in the Legal Sector who are looking for an Office Manager to join their administrative team. In this role you will be responsible for the smooth day to day running of the office and ensuring an excellent experience for all clients. You will be proactive and act as the first point of contact for office related queries.
This is a permanent position and will be based fully onsite due to the nature of the work involved.
Successful candidates will have prior experience with office management duties and would be advantageous to come from a Legal, Professional Services or Financial Services background.
Key Duties:
- Managing reception area and ensuring all guests are welcomed in a warm and friendly manner
- Running the day to day operations and serving as the first point of contact for all internal queries.
- Manage a wide variety of third-party suppliers and facilities related services, ensuring everything runs smoothly.
- Serve as the "go-to person" for the office, resolving issues with a hands-on approach.
- Oversee meeting room management, from setup and booking to ensuring necessary supplies are available.
- Coordinate catering and refreshments for the office, including daily tea/coffee, milk, and planning catering for internal events
- Manage office supplies stock levels for general items and supplies.
- Provide administrative support to the team, including scanning and distributing post for various departments.
- Book and organise flights and accommodation for staff travel.
- Assist with the running of audits by compiling and organising necessary information.
- Handle IT ticket logging and serve as the initial point of contact for printer issues, engaging with suppliers and organising engineers for fixes.
- Manage Health and Safety tasks, including running the office's First Aid procedures.
Key Requirements:
- Previous experience in office management or a similar administrative role, ideally in a professional services environment
- Full working authorisation in Ireland
- Available for an immediate start
- Excellent administrative skills with strong working knowledge of the Microsoft package
- Proactive approach to problem solving
- Team player who is also comfortable working autonomously
