Global Facilities Department is seeking to recruit a Facilities Executive. The successful candidate will mainly be responsible for the Soft services within the existing Facilities Management contract other responsibilities with the role are; Project Management, Contract Management and Budget Management; H&S; Office Services and Lease Management for their Building Portfolio.
The role is based in Dublin however domestic travel is required to manage the FM Contract. The applicant must be technically strong and be able to demonstrate their knowledge across Facilities Contract Management, Project Management, Procurement and Health and Safety background.
Key Tasks
- Manages the daily operational activities of the FM/cleaning contract with OCS for 3PP and the nine regional offices, to support Its Global network of offices. This includes but not limited to facilities management contracts, maintenance contracts;
- To Manage Soft Services - Reception, Security, Alarm Monitoring, Confidential Waste, Sanitary Waste collections, pest control, Extract canopies and ducting cleaning, Window Cleaning, Plant Maintenance and Cleaning), proactively engage with clients and stakeholders on issues ensuring the highest standards are adhered to at all times;
- To review PPM reports and recommendations;
- To project manage externally appointed contractors & other agents to ensure economic & timely delivery in line with objectives;
- Managing the room setup of Events and large Visitor bookings.
- To support the property management and lease management of office buildings;
- Manage the preventative maintenance program for 3PP and the nine regional offices to ensure the organisation Health & Safety and Legislative responsibilities are achieved across all soft services duel monitoring of some hard services due to there importance - Emergency lighting, PAT Testing, Distribution Board Thermal Imaging, Gas Detection, Grease trap Maintenance, Leak Detection, Legionella & Bacteria sampling.
- To support procurement & tender processes across the facilities portfolio in line with best practices for public agencies;
- Adhere to the Office of Government Procurement frameworks applicable to Global Facilities Department;
- To ensure Global Facilities Department Procedures & Government Procurement regulations are fully implemented;
- To support the constant review and implementation of Health and Safety policy and procedures across all offices (Dublin headquarters, regional offices and overseas offices) as required;
- Performs daily operational activities with landlord's and with our sub-tenants
- To management office projects as and when required;
- To utilise technology effectively in order to manage facilities activities in the most effective and efficient manner to protect the corporate governance;
- To demonstrate flexibility in undertaking specific project assignments across Global Facilities Department as required;
- To prepare and present proposals to the relevant Committees/Board as appropriate;
- To support the lease expiry process and dilapidations liability in property portfolio

- Third level qualification in facilities management is essential.
- Minimum of 5 years' experience in Facilities contract management (Soft Services Industry)
