We are seeking an organized, proactive, and experienced Employee Experience & Travel Coordinator to manage dynamic workplace operations and oversee comprehensive travel logistics. Key Responsibilities
Travel Logistics & Management
End-to-end booking of flights, accommodation, and ground transport via corporate travel management platforms (e.g., Egencia)
Managing travel itineraries, last-minute changes, and employee inquiries
Coordinating housing and logistics for interns, new hires, and visiting teams
Handling airport transfers and oversight of travel-related invoicing and expense reconciliation
Office Operations & Front of House
Serving as the primary point of contact for welcoming visitors, clients, and vendors
Managing front-of-house operations, post, deliveries, and courier services
Overseeing meeting room reservations, setup, and technology prep
Maintaining office inventory, ordering supplies, managing food/catering services, and keeping communal spaces organized
Liaising with external vendors, contractors, and facility managers
Employee Engagement & Administration
Coordinating onboarding logistics, including facility tours and initial workplace orientation
Assisting with the planning and execution of internal events, social initiatives, and team gatherings
Providing robust administrative support, including document formatting, invoice processing, and basic reporting
Required Experience & Skills
Proven experience in a fast-paced office administration, executive support, or workplace experience role
Demonstrated expertise in corporate travel management and complex coordination
Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint) and travel booking software
Exceptional organizational skills with rigorous attention to detail
Strong interpersonal and communication skills with a customer-first mindset
