We are looking for a professional, organised and customer-focused Patient Liaison & Reception Administrator to join our busy private healthcare clinic. This is a varied role that combines patient care, administration, reception and secretarial support, ensuring patients receive an exceptional experience throughout their journey.
The successful candidate will be an excellent communicator with strong organisational skills, the ability to multitask in a fast-paced environment and a commitment to maintaining the highest standards of confidentiality and patient care.

Key Responsibilities
Patient Liaison
- Act as the first point of contact for patients, GPs and healthcare professionals, responding to enquiries professionally and efficiently.
- Manage incoming telephone calls, emails and patient portal enquiries, ensuring messages are passed to the appropriate team promptly.
- Provide patients with information, documentation and guidance relating to their appointments and care.
- Register new patients on the clinic management system, ensuring all records are accurate and complete.
- Coordinate and schedule patient appointments, consultations and procedures, ensuring all associated documentation is prepared.
- Liaise with external healthcare providers and hospitals where required to coordinate appointments.
- Ensure patient records, medical documentation and test results are accurately maintained within the clinic management system.
- Process patient payments, issue invoices and maintain accurate financial records in line with clinic policies.
- Maintain patient confidentiality and comply with GDPR and all relevant healthcare regulations.
- Produce reports and administrative statistics as requested by the management team.
- Support the organisation of patient information events and clinic initiatives.
- Provide administrative and secretarial support to consultants and clinical staff.
Reception & Administration
- Welcome patients and visitors, creating a warm, professional and efficient reception experience.
- Check patients in for appointments and ensure all required documentation has been completed.
- Manage appointment diaries to maximise clinic efficiency and patient flow.
- Answer, screen and direct incoming telephone calls.
- Scan, upload and maintain electronic patient records accurately.
- Prepare daily clinic schedules and patient files for clinical teams.
- Type and process patient correspondence, ensuring accuracy and timely completion.
- Liaise with clinicians to ensure documentation is completed and distributed promptly.
- Assist with debt management processes where required.
- Process incoming and outgoing mail and deliveries.
- Maintain office supplies and stationery stock.
- Support reception cover across clinic locations when required.
About You
The ideal candidate will have:
- Previous experience in reception, administration or customer service, ideally within a healthcare or professional services environment.
- Excellent communication and interpersonal skills.
- Strong organisational skills with exceptional attention to detail.
- The ability to prioritise and manage multiple tasks simultaneously.
- Excellent IT skills and confidence using databases and Microsoft Office.
