Role Summary:
The Administration Coordination role is responsible for planning, organizing, and executing a wide range of events related to clinical research. These include sponsor and investigator meetings, patient engagement sessions, and training events. This role requires strong organizational, communication, and project management skills, as well as a solid understanding of clinical research protocols and regulatory requirements.
Key Responsibilities:
- Plan and deliver events from concept through execution and follow-up
- Define event scope, objectives, and timelines in collaboration with clinical study teams
- Conduct post-event evaluations and report on outcomes
- Coordinate with external vendors
- Serve as point of contact for internal and external stakeholders, including sponsors, investigators, and healthcare professionals
- Negotiate contracts and manage service level agreements
- Manage logistical details including venue booking, travel arrangements, equipment setup, and materials distribution
- Ensure events run smoothly and are delivered to high standards
- Develop and monitor event budgets
- Ensure all expenses align with organizational policies and financial controls
- Maintain timely and professional communication across all stakeholders
- Prepare and distribute event materials, agendas, and promotional content
- Maintain comprehensive event documentation including risk assessments, safety protocols, and management plans
- Ensure compliance with Good Clinical Practice (GCP), institutional policies, and applicable regulatory requirements (e.g., FDA, EMA)
Minimum Qualification Requirements:
- Computer proficiency and experience using a variety of software packages (e.g. Microsoft Word, Excel, Power Point, Project)

- Demonstrated ability to work effectively cross-culturally as well as across regions/geographies with strong customer service skills
