My client is a leading law firm based in Dublin and they are looking for an experienced Team Lead to oversee a small, centralised team of Legal PAs. This dynamic team provides flexible, high-quality administrative support across the firm, stepping in to cover absences and assist during busy periods - ensuring seamless service delivery for fee earners across multiple practice areas.
This is a dual-role position: the successful candidate will not only provide hands-on PA support but also lead, coordinate, and develop a motivated team. Provide comprehensive PA support, including diary management, meeting coordination and travel arrangements for multiple fee earners.
Produce and amend high-quality documents from digital dictation and handwritten notes, adhering to the firm's house style.
Support billing processes from start to finish, ensuring accuracy and deadlines are met.
Update and maintain client and business development data using the firm's CRM system (Interaction).
Manage both electronic and paper filing systems efficiently and accurately.
Deliver general administrative support including printing, scanning, photocopying and posting.
Provide ad hoc assistance to Partners, Associates and team members as required.
Lead and coordinate the centralised Legal PA hub, ensuring effective allocation of workloads and balanced team performance.
Monitor progress and ensure timely completion of tasks across the team.
Provide feedback, coaching and development to team members, encouraging continuous learning and improvement.
Act as a liaison between support staff and legal teams, ensuring clear communication of expectations and priorities.
Identify opportunities to streamline processes and enhance efficiency.
Prepare workflow and capacity reports for management as required.
Escalate any resourcing or operational issues to ensure consistent service delivery.
Minimum of 7 years' experience as a Legal PA/Secretary, ideally with exposure to multiple practice areas.
Experience managing workflows or supervising team members is highly advantageous.
Advanced proficiency in Microsoft Word, Outlook, Excel and PowerPoint.
Strong organisational and time management skills, with the ability to handle multiple demands effectively.
