JOB DESCRIPTION
The successful candidate will be responsible for the general support to the Dublin Office regarding reception and office management duties:
- Meeting and greeting clients, managing reception, answering telephones and taking messages as required while maintaining a professional approach
- Managing diaries and calendars of senior management while organizing and preparing meeting rooms and ordering catering as required
- Attending, collating documents and minute taking for monthly management meetings
- Ordering, receiving and stocking office, mailroom and kitchen
- Assisting with travel and transportation arrangements and accommodation requirements for office staff
- Receiving invoices for office supplies and preparing petty cash reports
- Updating schedules of directors and staff in conjunction with the HR Manager
EXPERIENCE AND RELEVANT SKILLS
- Have at least 2-3 years' experience as an office assistant or assistant to the director, or similar - is a must
- Highly motivated, proactive, flexible, problem solver, be able to multitask, discreet.
- Able to work independently and, at the same time, to interact effectively in a team environment
- Fluent in English, knowledge of Italian is an additional advantage
- Eligible to work in Ireland without restrictions
