We are seeking an organised, proactive, and experienced Legal PA to provide high-quality operational and administrative support to a group of Corporate Partners and Associates in our Dublin office. This is a central, hands-on role in a fast-paced environment, working closely with local and international colleagues to maintain efficient processes and deliver exceptional client service.
Key Responsibilities
Diary & Email Management: Proactively manage complex schedules, forward plan itineraries, and coordinate cost-efficient travel arrangements. Anticipate scheduling conflicts, resolve issues independently, and prepare meeting packs and materials ahead of time.
Financial Support: Assist fee earners with financial management, including client billing, working capital monitoring, matter balance updates, and running financial reports. Process expenses, resolve billing queries, and ensure prompt invoice issuance upon matter completion.
Matter Management: Oversee matter inception end-to-end, including conflict checks, Client Due Diligence (CDD), rate application, and engagement letters. Ensure strict adherence to compliance policies and manage active file archiving and closure.
Business Development & Administration: Maintain CRM records, update fee earner CVs, and support bids, tenders, and event coordination. Delegate document preparation, formatting, and conversion tasks to document support teams effectively.
Risk & Compliance: Maintain strict adherence to risk policies, complete required compliance training on time, and handle all confidential information with complete discretion.
Required Qualifications & Skills
Experience: Minimum of 3 years' experience as a Legal PA or in a comparable professional services environment.
Stakeholder Management: Strong interpersonal skills with proven ability to build relationships across all organizational levels.
Organization & Communication: Excellent written and verbal communication, impeccable attention to detail, and top-tier prioritization skills in a fast-paced setting.
Problem-Solving & Technical Skills: A dynamic, commercial mindset with strong problem-solving abilities and advanced proficiency in the Microsoft Office suite.
Work Style: Collaborative, flexible, and capable of working both independently and as part of a wider team.
