We are looking for an organised, proactive and customer-focused Facilities Coordinator to join a growing facilities team based in Dublin City.
The successful candidate will play a key role in coordinating day-to-day facilities services, ensuring that client requirements are met, contractors are effectively managed, and all planned and reactive maintenance activities are completed to a high standard.
This is a varied role that would suit someone who enjoys working in a fast-paced environment, is confident communicating with clients and contractors, and has excellent attention to detail.
Key Responsibilities
- Coordinate day-to-day facilities and maintenance activities across client sites.
- Manage incoming maintenance requests and ensure jobs are logged, allocated and followed through to completion.
- Liaise with clients, contractors, engineers and suppliers to coordinate works and resolve issues.
- Schedule planned and reactive maintenance in line with client requirements and service level agreements.
- Monitor contractor performance, attendance and completion of works.
- Obtain quotations and raise purchase orders where required.
- Maintain accurate records of maintenance activities, compliance documentation and contractor information.
- Monitor outstanding jobs and ensure they are progressed within agreed timescales.
- Assist with arranging statutory compliance inspections and planned maintenance.
- Respond promptly and professionally to client queries and provide regular updates.
- Support the Facilities Manager with reporting, audits and general administration.
- Ensure all works are carried out in accordance with relevant health & safety requirements and company procedures.
- Identify opportunities to improve service delivery and customer satisfaction.

Previous experience within facilities management, property management, maintenance coordination or a similar environment is desirable. However, we are also happy to consider candidates with strong coordination and administrative experience who are keen to develop their career within facilities management.
